Wroclaw-based start-up Alphamoon solves the problem of HR document processing with artificial intelligence

Alphamoon is launching a module of Intelligent e-File, an enhancement of existing HR systems through AI. With the introduction of the module, the Wroclaw-based start-up enables HR teams to streamline the work involved in processing employee portfolios. The implementation of of the solution comes with many benefits, both for smaller companies and corporations, regardless of the scope of their operations.

According to the decree of the Minister of Family, Labor and Social Policy, personnel files should be kept in a strictly defined manner, with the division of documentation into sections – and the obligation to keep them is defined by the Labor Code. In 2019, however, significant changes have been introduced – the documentation must be divided into four, rather than three sections as before (however, five sections are often used – A, B, C, D, E). In addition, the obligation to keep folders has also been shortened. Until now, the requirement for a paper archive was 50 years, which entailed huge costs – both in maintaining and processing the folders. In certain cases, this period has been reduced to 10 years.

Intelligent e-File is a solution that addresses many of the challenges posed by the obligation to maintain and archive files. Alphamoon not only digitizes documentation – thereby reducing the cost of maintaining a paper archive – but fully automates the process of manually tagging documents (assigning the appropriate section identification and determining the document type).

In addition, HR teams spend time manually transferring data from documents and entering them into the appropriate systems. Intelligent e-File also addresses this problem by freeing employees from tedious, monotonous work through automatic data extraction (e.g., PESEL, first name, last name, date of birth, document creation date, etc.).
